Oral Presentation Instructions

General Instructions

Time is critical in preparing for your lecture presentation. Each lecture presentation will be 15 minutes in total length including questions. The slide or overhead transparency portion of your presentation should not exceed 10-12 minutes. Keep in mind that during this allotted time, you will be able to speak only approximately 1,000 to 1,500 words. Rehearse your presentation before making your presentation. Make sure that you are able to stay within the 10-12 minutes time limit.

In line with this, also keep in mind that your audience can only absorb about six (6) major points during a 12 minutes presentation. Your job is to select those six points and present them clearly, forcibly, and even dramatically.

Think of those six major points as being covered within six slides or overhead transparencies. Each slide or transparency should include no more than six (6) subpoints, about which you can speak within one minute. Visual aids such as slides and transparencies attract and hold an audience’s attention and help to reinforce what you say as well as helping you keep on track with your presentation. You need to keep these visuals - and your remarks simple and easy to read and understand.

Substitute presenters MUST be sufficiently familiar with the material being presented to answer detailed questions from the audience. In addition, the substitute presenter MUST contact the Session chair prior to the day of the session to inform him/her of the change in presenters.

Audio-Visual Equipment

All presentation rooms will be equipped with a PC and a data show for Powerpoint slides, an overhead projector, a 35mm carousel slide projector, a microphone and a standing lectern.

For Powerpoint presentation, please bring your talk on 3 1/2" disk or CD-ROM. Use only standard fonts in your preparation of Powerpoint slides. You MUST load your Powerpoint presentation to the PC of your session room at the beginning of the day of your presentation or at least half an hour prior to your session and you are advised to check proper operation and to have a backup copy of your presentation.

In view of the tight schedule the Session Chairs will make sure that a format of 10-12 minutes presentation followed by 5-3 minutes discussion will be strictly adhered to. We have scheduled adequate "coffee breaks" to provide opportunities for further discussion after the sessions.

Preparing Your Presentation and Transparencies or Slides

Some of the oral presentations will be given in large lecture halls (seating up to 500 people), so it is imperative that you follow the suggested guidelines in the preparation of your presentation and slides that you will use. You need to make sure that a large audience will be able to see and read your visuals clearly (the font size should be at least 24 pt.). Transparencies for presentation on an overhead projector should fit within a rectangle of A4 size or US letter size sheet.
